REGIS Registration Process for Advisors & Option Representatives
As part of the Institute's ongoing efforts to ensure that all enrollments are reviewed and approved by academic advisors, the online registration process in REGIS is changing beginning with Winter Term registration. Please see below for information on the new flow and then the timelines.
Previously, students enrolled in classes first and then obtained advisor approval. Starting this winter, they will need to obtain advisor approval before enrolling.
This change aligns with Institute policy and ensures every student's course load and academic plan receive advisor review in advance.
Overview
The new process consists of three key phases:
- Preregistration Period – Students build and submit proposed schedules for your review and approval in REGIS
- Registration Period – Students with approved schedules can officially enroll
- Add Drop Period – REGIS Closed; Schedule changes made after REGIS closes will occur via forms
How the Advisor Review Process Works
Students will:
- Create their preliminary schedules in REGIS
- Submit their proposed schedules for advisor approval
- Wait for advisor action before enrolling
Advisors will:
- Receive email notifications when advisees submit proposed schedules. Students and advisors should enter in helpful comments during each phase via the pop-up window.
- Review schedules in REGIS and take one of the following actions:
- Approve – Student may enroll in these courses when registration opens
- Reject/Return – Schedule is sent back to the student for changes
- Request Meeting – Student is notified to contact you before proceeding
Note: Students cannot edit or change their proposed schedule once submitted until you click ‘Reject/Return' button in REGIS.
| Student Schedule Status | What It Means | Advisor Action |
|---|---|---|
| In Progress | Student is making a schedule or editing a schedule you returned to them | Await student submission |
| Pending Approval | Student has submitted their schedule to you | Review and select: Approve, Reject/Return, or Request Meeting with Advisee |
| Approved | Student may attempt to enroll in limited seating courses on their approved schedule once registration opens. Courses without limited seating will be auto-enrolled once at the start of the registration period | No action unless advisee reaches out to you to release their schedule so that they can edit their schedule. If you are ok with doing so, select Release Schedule |
| Rejected | You returned the schedule to the student for changes | Wait for student to resubmit a proposed schedule |
| Meeting Requested | Student will receive an email that you want them to meet with you | Please schedule a meeting in a timely fashion |
WI 2025-26 Registration Timeline
Preregistration Period - November 20th to November 26th
During this time:
- Students will create and submit proposed schedules for your review. They are being asked to do so by November 26th to ensure you have adequate time to review and approve before the Registration Period
- Please review and take action on your advisees' proposed schedules before December 1st; Approvals during this period are required before students can enroll on December 3rd – the start of the Registration Period
- Note: Proposed and approved schedules do not reserve seats in classes during this phase
- Students should go to their advisor first. If unable to get a hold of them, they may go to their option representative.
Registration Period – December 3rd to December 12th
Starting December 3rd, students with Approved schedules will see an "Enroll" button appear in REGIS when registration opens. Enrollment remains first come, first served, based on seat availability. If they don't get into a class, they may:
- Wait and try again if a spot opens up
- Contact you to release their schedule so that they can pick a different course. If they do this, they'll have to send it to you for approval before they can enroll.
- Students cannot enroll in any course that has not been approved in REGIS
Add/Drop Period when REGIS is CLOSED – December 12 through Add/Drop Deadlines
- After December 12, REGIS will close for schedule changes
- Any adds, drops, unit changes, etc. must be submitted via the Registration/Course Change Form or Time Conflict Form
- More details and deadlines about Add/Drop will be announced after the REGIS registration period ends
Option Representatives
Option representatives can also view and approve schedules in REGIS!
Option representatives should ensure that the advisor is included in any correspondence. In rare cases where the advisor and option representative are not available, students may go to their deans' office.
